How to Search Contracts in SharePoint With Legal AI
Josh Bertini, Head of Growth•Published
Procurement needs a renewal recommendation before its budget meeting. You search contracts in SharePoint and find the vendor's signed agreement, two files labeled “final,” and an amendment in another team's site. Before you can advise whether to renew, you need to establish which documents govern, when notice is due, and what the next term will cost.
GC AI is a turnkey enterprise legal AI platform for in-house counsel. As of October 2026, 2,100+ legal teams use our platform, including TIME, Riot Games, Wayfair, and SKIMS. For commercial legal work, we help teams apply their company positions to customer edits, prepare proposed language, and explain the changes to business colleagues. For a renewal, counsel can use GC AI’s Contract Intelligence to connect related agreements and inspect current terms with supporting sources before preparing a reviewed recommendation for procurement.
Build on Your SharePoint Contract Management Setup
Microsoft's contract management solution uses document processing to classify agreements and extract fields, SharePoint lists to present the information, Teams for collaboration, and Power Automate for configured approval workflows.
SharePoint agents also answer questions from selected sources, subject to the user's access and the organization's licensing or pay-as-you-go setup. Your team may already have useful search, extraction, and workflow capabilities.
Evaluate legal AI against the work that remains in your renewal review: locating related documents, tracing amendments, inspecting clause support, and applying company guidance. A SharePoint list can remain your team's working tracker while counsel tests whether legal AI improves the quality and speed of that review.
Choose Between a Chat Lookup and a Synced Vault
Our Agent Connectors bring connected-system retrieval and available actions into a GC AI chat. For a focused matter, the SharePoint connector lets you search and retrieve documents through your connected Microsoft account, subject to your existing SharePoint permissions. SharePoint Agent Connector availability varies by organization; check with your account team if it does not appear.
Document Storage connects selected sources for ongoing sync and indexing into a Contract Intelligence Vault. Use this route when you want a persistent set of agreements, extracted terms, related-document views, and repeatable portfolio questions.
Ask your GC AI admin to confirm the separate SharePoint policies for Agent Connectors and Document Storage. For chat retrieval, connect your own Microsoft account in Settings → Integrations → Agent Connectors and review the allowed tools. Your Microsoft 365 administrator handles one-time tenant consent.
For a Vault, select the SharePoint source scope to choose which files enter it. Account access and source scope are separate settings.
Also review who will receive access to the Vault. Vaults start private, and their owner controls sharing. Treat that membership decision separately from choosing the SharePoint source.
Before the pilot, assign a person to each decision. GC AI can help prepare a source-linked review record; route required approvals and signatures through the people and systems your organization designates.
| Owner | Decision | What Review Should Provide |
|---|---|---|
| Agreement owner | Is the review set complete enough for counsel? | The executed agreement family, source links, known gaps, and an owner for each missing document. |
| Counsel | Which provisions govern, and what legal issue needs a decision? | Cited terms, amendment effects, unresolved points, and a recommendation or notice instructions for counsel's review. |
| Procurement or business sponsor | What commercial outcome should the company pursue? | Business priorities, the internal decision date, and the chosen renewal, renegotiation, or nonrenewal path. |
| Finance | Does the proposed renewal fit current approval limits? | Budget context, the applicable threshold, and approval or revised-price direction. |
Turn SharePoint Search Results Into a Renewal Recommendation
The documents, provisions, and company thresholds in this illustration are fictional. This example presents an untested prompt and proposed workflow.
Assume a vendor's next subscription term begins January 1, 2027. Procurement needs counsel's recommendation by October 20. The SharePoint vendor folder contains the MSA, order form, and Amendment 1. An internal renewal tracker mentions Amendment 2, which is missing from that folder.
Establish the Documents You Need to Review
Search using the legal entity, vendor's former names, product or service, and agreement identifiers. Follow references in the documents, including amendment numbers and incorporated schedules. A counterparty-name search alone can miss a subsidiary's order or a file named for the product.
Compare the results with procurement's tracker and ask the agreement owner where the renewal amendment was saved. In this illustration, procurement locates the signed Amendment 2 in a separate SharePoint site. Add it to the review set and confirm that it covers this order.
If related records sit elsewhere, use the corresponding workflows for AI contract search in Google Drive or finding and analyzing contracts in Dropbox. Record which sources and documents counsel reviewed, including any known gaps.
The remaining steps use the synced Vault route. Create a Vault, then choose SharePoint under Document Sources → Add source and select the source scope. Review the import preview and processing status before treating the results as your working set. Keep the related agreements in the same Vault so you can inspect their relationships.
Check the Agreement Family and Request the Relevant Terms
In Related Documents, inspect the proposed family. GC AI creates high-confidence relationships and offers other links for confirmation. Check the parties, underlying agreement references, and covered services before accepting a relationship.
Request extraction Columns for the information this decision needs: renewal duration, the nonrenewal deadline, notice delivery requirements, and renewal pricing. Open Current Terms to inspect the family's terms after amendments.
Then ask a question that names the renewal under review. Adapt this untested prompt:
Review the MSA, order form, and amendments for the subscription term beginning January 1, 2027. Identify the renewal duration, nonrenewal deadline, required notice method and recipient, and price increase. Cite the passages supporting each answer and explain which provisions an amendment changes or preserves. Flag missing documents, conflicting language, and facts I need to confirm before advising procurement.
A term's signature date, effective date, and application trigger can differ. For a detailed example of that analysis, see how to find current contract terms after amendments.
Verify the Answer and Apply Company Guidance
Open the cited passages and read the surrounding provisions. Confirm the execution status, applicable order, amendment scope, and notice requirements. If an answer depends on a missing document or unresolved conflict, leave that conclusion open and assign someone to obtain the evidence.
Now add the business instructions. For this illustration, finance requires approval for an increase above 3%, and procurement requires approval for a commitment longer than 12 months. Those are supplied company rules. Keep them distinct from the contract terms.
You can link the Vault to a Project and add the applicable renewal policy there. Ask GC AI to compare the cited terms with that policy and draft the decision note. Record the reviewer, business owner, and review status in manual Columns and notes so the review context stays with the agreements.
After counsel checks the fictional provisions, the proposed review record is:
| Renewal Issue | Reviewed Contract Position | Business Decision |
|---|---|---|
| Commitment | Amendment 2 §1 replaces the order's 12-month renewal with 24 months. | Procurement must approve the longer commitment or negotiate a change. |
| Nonrenewal notice | Amendment 2 §2 sets November 1, 2026, as the notice-receipt deadline. The MSA's notice clause supplies the delivery method and recipient. | Counsel verifies those delivery details before preparing any notice. Procurement's internal decision is due October 20. |
| Price increase | Amendment 2 §3 sets a 5% increase for this renewal. | Finance must approve the exception to its supplied 3% threshold or request a lower increase. |
This record makes the recommendation specific: counsel has identified the contractual route and timing, while two commercial approvals remain outstanding. It also keeps the internal October 20 decision date separate from the contractual notice deadline.
Give Procurement a Reviewed Handoff
Ask GC AI to draft the business-facing note from the reviewed findings. Edit it before sharing, preserve the source references in the matter record, and name the people responsible for the next decisions.
For the fictional example, counsel's handoff could read:
The reviewed agreement renews for 24 months at a 5% increase. Procurement must approve the longer term, and finance must approve the price exception before we recommend renewal. Please confirm both decisions by October 20. If the business chooses nonrenewal, legal will prepare notice for receipt by November 1 using the contract's required method and recipient. See the linked review record for the controlling provisions.
After procurement and finance decide, record their decisions and the renewal outcome in your existing tracker. If the business authorizes nonrenewal, complete delivery through your company's established process and retain the notice and evidence of receipt in the matter record.
When the commercial history lives in a CRM, our Salesforce legal review workflow covers bringing that context into a separate review. For a patent license renewal, USPTO application status and office-action research can support a distinct diligence task alongside the contract analysis.
Reuse the Review Instructions With Your Team
Once counsel approves the approach, save the instructions as a GC AI Skill. Share it with the reviewing team and attach it in the next renewal chat. Include the source checks, renewal questions, company policy references, escalation owners, and handoff format. Assign an owner to update the Skill when company guidance changes.
Keep matter-specific conclusions in the review record. Reuse the method for the next vendor, then supply that vendor's documents and current business guidance. A saved Vault View can help the team return to the relevant contracts and Columns.
Test One Known Agreement Family
Start with a renewal your team has already reviewed. Confirm the expected document set, run the proposed workflow, and compare the resulting answer with counsel's reference analysis. Check whether it identifies a changed term, preserves an unchanged provision, cites the controlling clauses, and flags a deliberately omitted amendment.
Measure the time through counsel's reviewed handoff, including corrections and follow-up searches. Expand the pilot when the source coverage and review quality meet your team's standard. If you are comparing platforms, use those same agreements and questions to evaluate contract intelligence software.
Bring that agreement family and your reference answer to a demo so your team can assess the work it needs to complete.
